Assigning a new Workflow version

Workflows are managed by versions

Once a new version of the Workflow has been activated, all onboarding packs using the new Workflow will be updated to the new version.

New Candidates registering under the onboarding pack with a new version will see the updated Workflow.

Existing Candidates will continue with the previous version - Unless when activating the new workflow version you choose the option to 'Align Candidate Workflow Steps':

Align Candidate Workflow Steps Clicking 'Yes' will update all the live candidates with this new workflow.

Points to be aware of:

  • This will only affect candidates who are not Validated, Rejected, Withdrawn, or Deleted.

  • Only update candidates with the previous workflow version (if they are on an older version they will not get the update)

  • Add any missing workflow steps from the new version.

  • Remove incomplete workflow steps that no longer exist in the new version.

  • This will not restore previously deleted workflow steps

Clicking yes, Align - You'll get an onscreen confirmation when the 'Alignment is Completed'

Alternative way to move current Candidates to a new Workflow or additional workflow:

Sometimes only some of the candidates need an additional step/document to complete. In these cases you can choose to create a new onboarding pack with only that one step and then assign the onboarding pack in addition to the main onboarding pack the candidate is already registered against.

Assign an Additional Workflow as an onboarding pack

  • Create a new Business unit/onboarding pack.

  • Assign the updated Workflow to it.

  • Assign the existing Candidate to this new Business unit/onboarding pack.

Replace the assigned onboarding pack with a new pack that has the new workflow

If you want to reassign the candidate the new pack all together as it has the new workflow you can follow the steps as if you assigned the wrong onboarding pack.
