# Creating new Additional information (Workflow)

The Additional information steps that follows the General information section live under the Additional information (Workflow) option in the Admin menu

**To create a new Additional information**(**Workflow) for your onboarding pack**, first **click the '+' button** at the top 'Workflows' banner and in the pop-up box: give it a 'Workflow name' and a  'Description', then click 'Create'.&#x20;

Once the new Workflow is created, click on the Workflow's name to view/edit the steps for this workflow. *If you can't see the name of your Workflow in the list on the left, you might want to toggle on the 'include non-active' option.*

**One Additional information** (**Workflow) can have many steps.**&#x20;

### **Adding a new Step**

On the right-hand side of the screen, **click on the plus '+' icon to add your Workflow's step**.&#x20;

When creating the workflow step, you need to **give the step a name and choose a 'step type'** from the drop-down list.

* **Choose a 'Step Type'**: Start by selecting the type of workflow step you want to add (e.g. HTML form, document upload, video, candidate dynamic agreement).
* **Click ‘Create’:** Once you’ve chosen the type, click **Create**. The new step will appear in red, indicating it’s incomplete.

Initially, the Workflow step will be marked in red, and only once all steps are completed can the new Workflow be activated and assigned a Business unit.

**Configure the incomplete step**: Click on the red step. To open its settings by clicking the 'pen' icon. You can set a step to be required by ticking the 'Mandatory' option box.

### **Step options**

#### **Bullhorn settings**

By default the file name will take the name of the file uploaded by the candidate.&#x20;

Bullhorn settings allows you to set your own *shorter* version **file name** and select the **File type** it will save as when saving to Bullhorn. You'll also have the option to choose to **'Create a file'** and/or **'Create a credential'** or both in Bullhorn.

'File Types' and 'Certification status' are 'internal lookup' from Connect - they must be added by a Super Admin in your Connect App Settings first (by Kyloe Support) before you can see the option to select from the list. The certification to create is a picker to the Bullhorn certification list.

Note! Videos can't, at the moment, use the option to create a file or a credential when saving to Bullhorn.

#### **Conditional workflow step**

**Set Conditional Logic:** At the bottom of the step configuration, use the Workflow step's  'Conditional workflow step' option to define when the step should appear. i.e if it should belong to a certain phase or not if left as 'Required no conditions'.

**Save the completed Additional step**

Click **Save**. The step will turn **white**, indicating it’s complete.

**Adding Additional steps:** Repeat the process to add all necessary steps to your workflow.

#### **Activate the new Workflow** when all steps are ready:

* **Click the ‘Show menu’ button**. This will display the option to 'Activate'
* **Select ‘Activate’.** The workflow is now activated and can be assigned to Business units.

### **Assigning Additional information (Workflow) to a Business unit/ Onboarding pack**

Go to 'Business units' in the Admin menu and find the Onboarding pack in the lis&#x74;**.**

On the right-hand side of the screen under  '**Workflow'** - **click on the 'pen' icon**. This will allow you to see the list of available - active - Workflows. Select the correct Workflow from the list.

Once selected, it will display the name of the selected Workflow and the current version number.&#x20;
