Click on the 'New (Entity) Rule' option located either to the top right or on the bottom of the page. Once you have clicked the 'New (Entity) Rule' button the rule editor is displayed. This is split into two sides, the criteria on the left and the actions on the right.
he criteria section is where a search selection is built up. This is shown as follows:
Enter a unique name for the rule. Rule names can be edited at any point in the future.
Any of the available fields can be selected to add to the search. These fields are related to the entity selected, candidate in our example. 'ID' is populated by default but clicking in the field and deleting 'ID' will reveal a drop-down list of all available fields.
Select the operator. The available operators are as follows:
equals This checks for equality with whatever is typed in the box to the right (4). Only records with exactly the value entered in (4) will be returned in the search.
does not equal This is the opposite of the previous option. Only records that do not match the value entered in (4) will be returned in the search.
includes any of This checks for records where the field is set to whatever is typed in (4), you can search multiple values here.
NOTE: This criteria is searching for whole values in a field. We cannot search for partial values, such as individual words or phrases. Comma-delineated lists do not work with this operator.
does not include any of This checks for records where the field is not set to whatever is typed in (4), you can exclude multiple values here.
Before / After For use with dates, these options check for values that are before or after the date entered in (4).
less than / greater than / less than or equals / greater than or equals These apply to numerical fields. Their operation compares the value in the record to that in (4).
is null Find all fields that include no valid data (Null).
is not null Find all fields that include valid data (Not Null).
within / not within Find all fields that match a desire dynamic date range.
has some Look for information contained within a search criteria
has none Look for information not contained within a search criteria
This is where you should enter the value to be searched for. If the field in (2) is either a checkbox or a yes/no field in Bullhorn then this will be replaced by a checkbox.
Add Criteria: Selecting 'Add Criteria' will allow filtering on another field. This field will be evaluated in addition to any other criteria.
All criteria are added to the search as 'And' options, not 'Or' options. The combined search will therefore only return records where both/all criteria are true; each additional criteria will continue to refine the search.
There are no limitations on how many criteria can be added.
Examples of search criteria are:
Selecting 'ID' in the first box, 'equals' in the second and '1' in the third. This will run a search that looks for all Candidate records where the IDs are equal to the character '1'. This will return, at most, one result.
Selecting 'Current Company' in the first box, 'does not equal' in the second and 'test' in the third will run a search that finds all the candidates where the currentCompany is NOT 'test'.
Selecting 'General Comments' in the first box, 'includes any of' in the second and 'test' in the third will find all the Candidates where their comments field contains the word 'test', even if it is only part of a longer sentence.
Adding criteria for Bullhorn addresses is a slightly different process to standard fields. Once the address field is selected, operator and field selector drop-downs are presented.
Once an operator and a field is selected then the criteria will be complete.
Multiple address fields can be added to the same criteria.
It is possible to save a rule with an address criteria with no fields assigned. This should be avoided as the rule may error when either tested or run. Please ensure there is always at least one field within the address criteria.
DataRules allows you to find and apply actions to sub-entities (3 & 4) related to the main entity selected (1) by clicking on fields box (2). This will open a drop-down menu showing all related entities you can select from the chosen main entity.
